The question "which is the best CRM with WhatsApp?" has no answer, and be wary of anyone who gives you one. What does have an answer is a more useful question: which one fits the way your business already sells?
This guide is that answer in two parts: first how to decide, then who the real candidates are, grouped by the kind of business they serve. There is no ranking. Further down we explain why there is not.
The three questions that decide it
1. Where does your sale close?
If the customer writes, you quote and you close inside the same chat, you need a tool built around the conversation. If your sale crosses stages — proposal, follow-up, negotiation, close — and somebody asks about the quarterly forecast, you need one built around the pipeline. That difference rules out half the options before you look at a single feature.
2. Do you need a CRM, or a shared inbox?
They are different things and they get confused often. A CRM is the system of record: the customer's file, the history and the state of the deal live there. A shared inbox solves several people working the same number, but it is not the source of truth for anything.
If you already have a CRM that works for you and the problem is only that three people are fighting over one phone, you do not need to change CRM. You need to connect WhatsApp to the one you already have.
3. Which plan does what you need come in?
The most expensive trap. There are CRMs where WhatsApp comes from the entry plan and others where the native inbox is documented only from mid plans upward. Quoting the cheapest plan and then discovering it does not include the channel is the mistake that breaks the most budgets.
Group 1 — Chat-first: the conversation is the center
Built around messaging. The conversation lives attached to the customer's file and automation is thought about in terms of chat.
- Kommo — conversational CRM with the WhatsApp Business API built into the product itself: multi-agent inbox, history on the deal card, templates inside the CRM and a no-code chatbot builder. One provider and one invoice. It is the simplest starting point if your sale lives in the chat.
- Zixflow — AI CRM that builds in the WhatsApp Business API alongside campaigns and automation. One important nuance: from what its site documents, its WhatsApp is oriented toward sending — campaigns and outbound messaging — more than multi-agent conversational support. If what you want is broadcasting with a CRM behind it, it fits; if you want a support inbox, verify that point before buying.
Group 2 — Pipeline-first: the sale crosses stages
The axis is the pipeline, the forecast and the reporting. WhatsApp is one more channel inside a longer process.
- Pipedrive — sales CRM with a visual pipeline, forecasting and reporting. It does have a native WhatsApp inbox on the official API, but its support documentation places it from the Growth plan upward and it is not listed on the public pricing page. On entry plans, the common route is still a Marketplace app. We compare it in depth with Kommo in this comparison.
- RD Station — marketing automation platform and CRM with an explicit LATAM focus: landing pages, email, lead nurturing and WhatsApp integration. It is a full CRM, not just a marketing tool; its center of gravity is in generating and nurturing demand more than in the one-to-one conversation.
- Leader Leads — CRM built for small business sales teams: customer management and sales process automation, with a short learning curve as its main argument.
- Lucro CRM — free CRM with a client portal, designed specifically for solo entrepreneurs and micro-businesses. The one to look at when the team is one or two people and the budget is zero.
- Centripe — AI marketing and sales platform aimed at agencies: you buy it to white-label and resell to clients. If you are an agency, it is a business model; if you are the end business, it is probably not your tool.
Group 3 — Inbox and connector: these are not the CRM
They solve several people working WhatsApp, or they connect WhatsApp to the CRM you already have. They are not the system of record and they do not pretend to be. If you already have a CRM, this is where you should look before replacing it.
- Timelines AI — syncs every WhatsApp conversation with your CRM and offers a shared inbox on top. Built precisely so you do not have to change CRM.
- ControlHippo — omnichannel inbox for WhatsApp, Instagram, Telegram, SMS and email, with CRM integrations. Useful when the problem is the number of channels, not the customer record.
- Gallabox — no-code WhatsApp automation with AI agents for capturing and qualifying prospects, with a presence in Brazil and LATAM. Closer to the chatbot and qualification than to the sales record.
What this list does not tell you
Two deliberate omissions, and they are worth explaining.
There are no prices. Only two of these candidates have a price we have verified at its official source and dated. Publishing the others from memory or second-hand is exactly where errors and stale information get in. The real cost — license, what Meta charges per message and the connector if you need one — we break down with dated numbers in the cost guide.
There is no ranking. To say "the best" would require an evaluation with declared criteria and evidence per criterion for every tool. We do not have that, so we do not say it. An ordered list without that foundation is an opinion dressed as analysis, and usually ordered by what suits whoever published it.
What we did do: check every candidate against its own official site before describing it. Of the ten, seven also have independently corroborated evidence in our system; three — Lucro CRM, Centripe and Leader Leads — rest for now on a single source, the provider's own. We say so because the difference matters when you are about to sign.
Where to go next
If you already know which side you fall on, the direct comparison between the two main routes is in Kommo vs Pipedrive. If you are still not clear on whether you need the WhatsApp API, start here. And before signing with anyone, the twelve-question list is the best use of twenty minutes.
Frequently asked questions
Which is the best CRM with WhatsApp?
There is no best one in the abstract, and be wary of lists that claim otherwise. The useful question is where your sale closes: if it lives in the chat, a conversational CRM serves you better; if it crosses stages and you need forecasting, one built around the pipeline. The same tool can be right for one business and wrong for the one next door.
Do I need to change CRM to use WhatsApp?
Not necessarily. If your current CRM works for you and the problem is only that several people need to work the same number, there are tools that connect WhatsApp to the CRM you already have and add a shared inbox on top, without migrating anything.
What is the difference between a CRM with WhatsApp and a shared inbox?
A CRM is the system of record: the customer's file, the history and the state of the deal live there. A shared inbox solves several people working the same number, but it is not the source of truth. Many businesses think they need the first when the real problem is the second.
Do all of these CRMs include WhatsApp on the cheapest plan?
No, and it is the most expensive trap when getting quotes. In some, the channel comes from the entry plan; in others the native inbox is documented only from mid plans upward. Ask explicitly whether the feature you need is included in the plan they are quoting you.
Why is this list not ordered from best to worst?
Because we do not have a defensible basis for ordering it. An honest ranking requires declared criteria and evidence per criterion for every tool. Without that, the order would end up reflecting our commercial preferences, not what is useful to you. We would rather group them by the kind of business they serve and explain how to decide.
Every candidate was checked against its official site on July 27, 2026. Yocoya is a Kommo and Pipedrive partner and earns a commission if you buy either one; the rest appear with no commercial relationship. We say so you can judge the list with that in hand.
