What a WhatsApp BSP is and how to choose one in Mexico

If you are getting quotes for WhatsApp for your business, sooner or later the word shows up: BSP. It usually arrives in a sentence that sounds final — "you need a BSP" — and almost never comes with an explanation of what one is, or whether you actually need it.

It is worth understanding, because a decision comes out of it that affects your monthly cost and who you call when something stops working.

What a BSP is

BSP stands for Business Solution Provider: a provider authorized by Meta to give access to the WhatsApp Business API. Meta does not sell that API in an online store; access comes through companies that have already been through its authorization process.

In practice, a BSP does three things: it registers your number, it connects you to Meta's infrastructure, and it charges you — sometimes only for its service, sometimes by reselling you the messages too.

That last point is where it pays to look closely, and we come back to it below.

The three routes: not all of them go through a traditional BSP

Here is what almost no article in Spanish makes clear. The line "you always need a BSP" is overstated. There are three paths, and which one is yours depends on the software you are going to work with.

Route 1: a CRM that already has WhatsApp built in

Some CRMs build the WhatsApp Business API into their own product. You buy the CRM, register your number from there, and you do not have to find a separate provider or sign a second contract. It is the route with the fewest moving parts: one provider, one invoice, one place to call.

That is the case with Kommo, for example, which builds the API into the CRM. You still pay separately for what Meta charges for messages, but you do not pay an additional middleman.

Route 2: a messaging platform connected to your CRM

If your CRM does not carry the channel — or does not carry it on the plan you bought — the common route is to add a messaging platform that does and connect it. This is where the providers we normally call BSPs come in.

This route gives you more options and sometimes better campaign tools, at the cost of two providers, two subscriptions and an integration in the middle that can break.

Route 3: a direct connection to Meta's Cloud API

Meta offers the Cloud API, which allows a direct connection without going through a traditional provider. It is the cheapest route in licensing and the most expensive in work: you need someone to build and maintain the integration, and support when something fails is on you.

For most small businesses this is not the path. For a team with its own development and high volume, it can make a lot of sense.

How to choose: five questions worth more than any comparison

1. Are the messages resold to me, or does Meta charge them directly?

This is the question that moves the most money and gets asked the least. Meta has a published rate per template message. Some providers pass it through as-is and charge only their subscription; others resell you the messages with a margin on top.

Neither is dishonest if they explain it to you. The problem is not asking and finding out on the invoice. Ask explicitly: "is the per-message cost you charge me Meta's, or does it carry a markup?" And ask for the answer in writing.

2. Who owns the number?

Your WhatsApp number should be in your company's name in Meta's Business Manager, not the provider's. If it is in theirs, changing providers stops being a commercial decision and becomes a negotiation.

3. In what language and during what hours will they support me?

When WhatsApp goes down on a Tuesday at 10 in the morning, English-language support twelve time zones away stops being a detail. For a business in Mexico, a provider that answers in Spanish during compatible hours is worth more than a list of extra features.

4. What happens to my conversations if I leave?

Ask what you can export and in what format, before signing. Contacts and customer data usually come out fine. Conversation history is where it varies most, and it is precisely what accumulates the most value over the years.

5. Do I actually need this piece?

If the CRM you are evaluating already has WhatsApp built into the plan you are going to buy, adding a separate BSP is paying twice for the same channel. It is worth confirming what your plan includes before buying anything else.

That detail about Leadsales illustrates why it pays to read the fine print: comparing its entry price against a CRM with WhatsApp included is comparing two different things, because that plan does not carry the API.

Warning signs

  • They will not tell you whether the per-message cost carries a markup. A vague answer here is, by itself, an answer.
  • The number ends up in the provider's name. Non-negotiable: it should be yours.
  • They promise "unlimited messages." Meta charges per template message. What is unlimited will be the software subscription, not what Meta bills.
  • They do not explain that a separate Meta cost exists. Anyone who quotes you without mentioning it is giving you an incomplete number, whether or not they know it.
